Accident Management

Using our simple forms, you are able to quickly record the key information of any accidents that take place on or off the premises. The system automatically populates the date, incident number and who is reporting the accident, leaving the user to input the important details of the accident using the drop-down menus.

You are able to specify incident specific information such as:

Time the incident took place
Even if you input the incident later in the day than it took place you can still note down on the incident form the time it took place, this can be useful if medication had been issued or a wound cleaned for example.

The location where it occurred
This can be very important to know as if it becomes a recurring theme that accidents keep happening in one location then it may become a safety risk.

Injured area on the person
This is an important part of the form as it is crucial to know where the injury is on the person in order to be able to treat them accordingly.

Symptoms
This is also very important as this part details what the injury actually is, for example a cut or a dislocation.

How the accident occurred
This part of the accident form is where the user specifies how the accident happened for example, a fall/trip or hit by an object.

Treatment given at accident location
This is for any immediate treatment that is needed after an accident such as cleaning up a wound.

Treatment given in medical room
This is any treatment carried out in the medical room if a child is sent there to get a plaster for example or have their cut properly cleaned up.

Recommended next steps
Depending on the seriousness of the accident/injury the first aider can recommend what should happen next for example, simply return to their class or parent contacted and sent home.

There is also an accident notes boxes for any extra information you have about the incident.

Medical Room

The Medical Room module enables you to record additional information relating to an incident, you can add additional interactions and treatments given, build up a history of all actions performed to help the student, staff member or visitor. Each Medical Room interaction is appended to the main incident report, enabling a full history and audit of what has occurred.

The Medical Room allows the user to search for a specific person’s name and look through their history of incidents, illnesses and medication uses, in order to find a certain record or to check over their recent history to see if there is anything untoward as a member of staff has raised a concern of that person.

The user can also filter each type of record (accident, illness and medication) by the date or time it happened and adjust the way the records are listed from latest to earliest. They can also search through a particular history of records by typing in a type of injury or accident location into the individual records search bar for example.
Along with this you are also able to:

View a student’s emergency contact details, who the person is and their relationship to them.
Add additional Medical Room notes
View historical Medical Room interactions
View, download and securely email incident reports to the primary emergency contact

Illness Management

The illness management module enables schools, nurseries and after-school clubs to record illnesses which occur for employees, students and visitors.

You are able to specify incident specific information such as:

Time the illness was reported
Even if you input the illness later in the day than it was reported you can still note down on the illness form the time it took place; this can be useful if medication had been issued for example.

Illness type (even if unsure)
This can be very important, even if the person reporting the illness is unsure of what it is, as even a vague idea of an illness can be a positive.

Illness symptoms
If the person reporting the illness isn’t sure of what it could be then this section is crucial, as adding symptoms that the person is showing can help to narrow down what the illness could be.

Treatment given
This is any treatment carried out in the medical room if an ill child is sent there to get checked over for example or to take some medication.

Recommended next steps
Depending on the seriousness of the illness/potential the first aider can recommend what should happen next for example, parent contacted and sent home or sent back to class.

Using the new applications you are able to capture accident and illness information, quickly whether you have an internet connection or not. Records which are recorded in an offline situation are prompted to be uploaded once a connection is available.

Report Signatory.
The signatory option enables teachers to view accident information in the presence of school staff and sign to confirm it has been seen by them.

Records can be retained for as long as you need*, (under RIDDOR you need to have a record of this incident for at least 3 years after the event), easily accessible so if you need a historic record it is there and available

Mobile Web Application Support

MEDI-BOOK comes equipped with a mobile web-app interface which enables you to capture accidents, quickly when on the go with your mobile device. Once you have authenticated with the system the mobile device is detected and you are automatically presented with the streamlined user interface.

The mobile application supports online, and offline usage and the connection type is detected automatically for you. On first online usage the system downloads the pre-configured registration and accident group list boxes to a local cache **, this enables you to complete an accident record, with pre-configured responses irrespective of the connection state.

This cached form state stays current until the browser history is removed.

** No person information is cached to the mobile device

Parent Portal WebApp

MEDI-BOOK comes equipped with an online parent portal, enabling parents / career to have secure access from any internet enabled device to view all the accident reports which have been reported for their children.

The portal data is maintained in-sync with the school / nurseries data to ensure the latest information is always available.

MEDI-BOOK maintains an audit trail of the users interactions with the device, when accessed, opened report, signed etc, when an accident report is accessed the viewer is prompted at the end of the report to sign with their finger or mouse strokes to confirm that they had read the report, this action is then is flagged within the system so that staff can see that for example a bumped head report has been viewed and accepted.

All siblings are accessible within the same login for ease of use.

MIS INTEGRATION WITH WONDE

MEDI-BOOK supports MIS Integration using the Wonde platform.

This enables us to directly and securely pull student and employee information down directly from your MIS system, ensuring that your MEDI-BOOK instance is always kept up to date with any role changes, new registration information or changes to emergency contact details. With this feature it means that no staff member will have to update any information on the system manually, so no extra time is used up from a staff member’s day. Data Encryption and SSL

MEDI-BOOK data retention and security is based around AES256 encryption, (Advanced Encryption Standard) we chose to base the system on this due to it being a fast and secure form of encryption that keeps prying eyes away from data.All encryption keys are unique per service account and are stored separately to the main database server infrastructure / databases.

All data is encrypted at rest and when in transit it is encapsulated in SSL, this ensures safeguarding any sensitive data that is being sent between two systems, preventing unauthorised people from reading and modifying any information transferred, including potential personal details

Reporting

MEDI-BOOK comes with an easily understandable reporting system, enabling you to quickly produce standard outputs at the click of a button. All reports in the system allow you to display the current days information and also report on a date range, which is down to the minute, ensuring that all information in the system is accessible.

Accident Management you are able to report on accident criteria, i.e location, symptoms, type etc, individual person, person type, overview reports

Illness management you can report on the illness type, person type and individual people.

Medication Management reporting is available for product issue, person type and individual people.

Student or Employee historical reporting – Information on all the accidents which have occurred for an individual person, along with links to display the relevant incident reports

Accident and Illness Report

Using MEDI-BOOK you are able to produce a detailed accident report, which highlights all the key information as to what has occurred, how, when and where etc., Along with the ability to share this information with others via screen, print or email.

When a report is required to be sent via email or printed the key report information is redacted, this is to ensure that the information cannot be easily identified back to an individual.

Email reports can be sent immediately to the persons registered email address or by using the instance batch email service, reports are provided using

Password protected PDF files to ensure they cannot be opened inappropriately or edited.
The persons name – This is removed (***).
First Aider – The name of the person administering the first aid is removed.
